POSITION SUMMARY:
Prescribes and adheres to the Villa Way of Kindness in all personal and professional interactions while on duty in and around the facility. Business Office Managers demonstrates great customer service by mentoring Villa’s three core principles of exceptional care, passionate services and unexpected luxury in all of her job duties and responsibilities.
TheBusinessOfficeManagerisakeyandvisibledepartmentsupervisorworkingdirectlywithallresidents,familyandemployees.TheBusinessOfficeManagerisresponsibleforthetimelyinputofinformationwithintheaccountingsystemsatthenursingfacilityandthosewhichinterfacewiththehomeoffice.TheBusinessOfficeManagerisdirectlyinvolvedinthemaintenanceofaccurateandcompletetrustaccountingrecords,censusinformation,billingandresidentaccountsreceivablestatements,wagespaidtoemployees’payrollandinvoiceprocessingforthenursingfacility.TheBusinessOfficeManageristheprimaryindividualresponsibleforthetimelycollectionofaccountsreceivablefromallpayorsources.FollowsallVilla’spoliciesandprocedures.
REPORTING RELATIONSHIPS:
Ifapplicable,supervisesBusinessOfficeemployees.
ESSENTIAL FUNCTIONS:
Census,BillingandAccountsReceivable
•Collatescensusinformationfromthenursingfloors,ensurestheaccurateandtimelyreportingofthecensusintheBillingsystemandCensustrackingsystem.Reconcilescensusonadailybasistoensureaccuracy.
•Inputsresidentfinancialinformationwithinthebillingsystemandmaintainsaccurateandcompletefinancialdataforeachoftheresidents,bothinthecomputersystemandahardcopyinresidentfiles.
•Reviewsbillingsgeneratedbythehomeofficeand/orisresponsibleforthedirectbillingof certainpayors(suchasMedicaid,etc.)
•Isresponsibleforthetimelycollectionofallaccountsreceivable.FollowsupdirectlywithslowpayorsandinitiatescollectionactionswiththeassistanceoftheAreaControllerandCollectionSupervisor inthe home office. This willnecessitate dealings with MedicareandMedicaid billingpersonnel.
TrustAccountRecords
•Maintainstrustaccountrecords.
•Providesstatementsforresidentsinatimelymanner.
Payroll
•Collates,verifies,obtainsfinalapprovalfromAdministrator,andsubmitsallpayrollhourstohomeoffice.
•Maintainsaccurateemployeerecords.
•Establishesandtracksbenefitsforthestaff.
AccountsPayable
•Accuratelycodes,verifiesgoodsandservicesrendered.Ensuresallinvoicesareproperlyapproved,copiedforrecordpurposesandbatched/senttohomeofficeinatimelymanner.
•ReviewstheAPDistributionreports.
*Complies with laws and regulations applicable to position and acts in accordance withVilla’sCorporateComplianceProgram.
Supervisesandtrainsotherbusinessofficepersonnel,ifrequired.
HIPAA
•FollowsandadherestoVilla’spoliciesandproceduresimplementingHIPAArequirementsfortheprivacyandsecurityofprotectedhealthinformation.
•Usesand/ordisclosesonlyminimumamountofProtectedHealthInformationnecessarytocompleteassignedtasks.
•Reportsallsuspectedviolationofcompany’sHIPAApoliciesorprocedurestoFacilityPrivacyDesignee.
Other Duties:
·ParticipatesinAll-HandsDining,asrequired.
·Performsotherdutiesasassignedandconsistentwithlevelofpreparationandexperience.
MINIMUM QUALIFICATIONS:
Education:HighSchooldiplomaorequivalent.
Experience:Firstlevelaccounting,orbasicbookkeepingcourseorpriorlongtermcarebookkeepingexperienceisstronglyrecommended.
Skills,KnowledgeandAbilities:GeneralcomputerliteracyandgoodknowledgeofMicrosoftOutlook,ExcelandWord.Workingknowledgeofofficemachines(copier,fax,phonesystems,etc.)Goodorganizationalandcommunicationskills.Abilitytorelatepositively,effectivelyandappropriatelywith residents,families,communitymembers,volunteersandotherfacilitystaff.Possessspecialinterestin,andapositiveattitudeabout,workingwithlong-termcareresidentsandtheelderly.Abilitytoread,writes,speakandunderstandEnglish.Demonstratesbasiccomputerknowledgeandabilitywithanaptitudetolearncompanyapplications.
ENVIRONMENTAL AND PHYSICAL REQUIREMENTS:
The responsibilitiesofthisposition involvesignificantphysicalactivities including standing,lifting (upto60poundsunassisted),bending,stooping,pushing,pullingandtwisting.Thetasksonthispositiondescriptionmarkedwithanasterisk(*)arethosethatregularlyrequirethesephysicalactivities.Allemployeesofnursinghomesmayberequiredtoprovideliftingandtransferassistancetoresidents.Liftingand/ortransferringsomeresidentswillrequireuseofaliftingdeviceand/orassistanceofotherstaff.
